Setting the basic language of a Dynamics 365 CRM system to English, even though the system is used in another language, can bring many advantages. But some disadvantages as well. The advantages are certainly the faster availability of updates and better compatibility with third-party add-ins and applications. Disadvantages are the additional effort for translations and the limitations when using localizable elements. Localizable elements are all entities, fields or data sets that are translatable into another language (in other words localizable). These elements can only be edited in the basic language. For example, customizing the system and creating a product is only possible in the base language. For our organizations it has also practical reasons. We are an international team where English is the lingua franca. In this blog article we would like to provide you with instructions on how to translate the display names for associated entities. Since this topic caused us some headaches in the past, we thought we'd share this knowledge with you, so you wouldn't get the headaches in the first place.

What is an associated entity?

It is about the different 1:N relations that one entity has to another. These relations are for example created by a Lookup field. If we click on the tile on it, all contacts with a lookup to this account will be shown.

Easy Translator or OOTB Dynamics Translator?

We already used both tools intensively and to say it right from the start - the Easy Translator is the better choice. Both translation tools work on a similar principle. An Excel spreadsheet is downloaded from Dynamics CRM, which can be edited and imported back into the system. Each language available in the system has its own column. Each localizable element has its own row. Without going too much into detail, the Excel spreadsheet in Easy Translator is simply better sorted and elements can be found and associated more quickly. If you only want to translate a few elements, you have to create your own unmanaged solution with the OOTB translator and add the specific entities or fields, forms, etc. which you want to translate. With the Easy Translator there is the possibility to select the attributes in the settings without having to create an unmanaged solution. The Easy Translator is only available via the XrmToolBox. However, the OOTB translator has one advantage - the translations are imported faster.

Translation of the associated entities or relations with the Easy Translator

  • Open the form of the entity on which you want to translate the display name. Note: If you know the name of the relation, you can navigate directly to the 1:N relations and open the relation there.

  • Double-click on the display name that you want to translate.

  • Click on the "Name" tab and then on "Edit". As you can already see, there is no custom label for this relation.

  • Select "Use Custom Label" under "Display Option". Write the English display name in the "Custom Label" field. Save the changes and publish the customizations.

  • Open the XrmToolBox and the Easy Translator. If you want to translate in a specific solution, select the solution. Note: To connect to an instance via the XrmToolBox some default settings are necessary.

  • Select the appropriate entity, just check the box "Export Relationships that are using custom labels". Export the translations and save the Excel spreadsheet.

  • Each language has its own code. For German it is 1031. Write the translation in the corresponding cell.

  • Save the Excel spreadsheet and import it using Easy Translator.

  • Once the import with the Easy Translator has been completed successfully, publish all customizations in Dynamics 365 one more time. Change the system language to German and open the corresponding entity and form. Viola! The display name for the relation is translated. Note: If the display name is not translated after all the steps, you have to remove the relation from the form, publish it, close the form, open it again and add it to the form again. This is a small dynamics bug.
