have already adopted AI, but still have no clear idea of how employees should work with it. In practice, this creates gray areas: What information can be entered into an AI tool? When does a result need to be checked? Who is responsible if an AI provides false statements? And how do companies ensure that not only individual tech-savvy employees benefit?    <\/p>\n<p class=\"isSelectedEnd\">The pressure rises from two directions. On the one hand, AI is changing work itself. The <a href=\"https:\/\/www.microsoft.com\/en-us\/worklab\/work-trend-index\/agents-human-agency-and-the-opportunity-for-every-organization\"><strong>Microsoft Work Trend Index 2026<\/strong><\/a> describes that organizations need to redesign work because AI agents are increasingly taking over tasks and humans are controlling, reviewing and making decisions more strongly. On the other hand, regulatory requirements arise. The EU AI Act makes AI literacy a binding issue for providers and users of AI systems.    <\/p>\n<p class=\"isSelectedEnd\">For HR, this means that AI competence must not arise by chance. It must be planned, role-specific and integrated into existing processes. Those who introduce AI without preparing employees for it do not create productivity, but new risks.  <\/p>\n<h2><span class=\"ez-toc-section\" id=\"What_AI_Literacy_Means_in_Business\"><\/span>What AI Literacy Means in Business<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p class=\"isSelectedEnd\">AI literacy describes the skills, knowledge and understanding that people need to use AI systems in an informed manner. This includes not only operating skills, but also an understanding of opportunities, limits, risks and possible effects on other people. <\/p>\n<p class=\"isSelectedEnd\">The official <a href=\"https:\/\/digital-strategy.ec.europa.eu\/en\/faqs\/ai-literacy-questions-answers\"><strong>EU AI Office Q&#038;A on AI Literacy<\/strong><\/a> refers to Article 3 (56) of the AI Act. There, AI literacy is described as knowledge and understanding that enables an informed use of AI systems and creates awareness of opportunities, risks and possible damages. <\/p>\n<p class=\"isSelectedEnd\">This definition is important for companies because it defines AI literacy more broadly than classic training. It&#8217;s not enough to show employees how to write better prompts. They also need to understand when AI results need to be critically examined, how to handle sensitive data, and what role human control plays in the process.  <\/p>\n<p class=\"isSelectedEnd\">This is particularly relevant in HR. HR works with personal data, confidential information and decisions that can have a direct impact on employees. According <a href=\"https:\/\/digital-strategy.ec.europa.eu\/en\/faqs\/ai-literacy-questions-answers\"><strong>to the EU AI Office Q&#038;A on AI Literacy<\/strong><\/a> , this obligation has already been in place since February 2, 2025. Supervision and enforcement by national market surveillance authorities will start from August 2026.  <\/p>\n<p class=\"isSelectedEnd\">The <a href=\"https:\/\/ai-act-service-desk.ec.europa.eu\/en\/faq\"><strong>AI Act Service Desk of the European Commission<\/strong><\/a> also confirms the phased schedule of the AI Act. The regulations on prohibitions, definitions and AI literacy have been applicable since 2 February 2025. Other obligations, including for certain high-risk systems, will take effect later.  <\/p>\n<p class=\"isSelectedEnd\">It is important to note that the AI Act does not simply prescribe standard training or a certificate. The EU AI Office emphasizes that organizations should align their measures with the context, the knowledge of employees, the AI system used and the respective risk. That&#8217;s exactly why HR is so important. After all, HR knows roles, target groups, levels of competence, learning formats and change processes in the company better than any other function.   <\/p>\n<p class=\"isSelectedEnd\">AI literacy is thus becoming a governance issue. It&#8217;s not about rolling out an e-learning course as quickly as possible and ticking off the topic. Companies must clarify in a comprehensible way who uses AI, in what context it is used, what risks exist and what support employees need.  <\/p>\n<h2><span class=\"ez-toc-section\" id=\"What_role_HR_plays_in_the_safe_use_of_AI\"><\/span>What role HR plays in the safe use of AI<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p class=\"isSelectedEnd\">HR sits at a crucial interface. IT can provide tools, security can define policies, legal can classify risks. But HR ensures that rules become actual behavior. This is exactly where the difference between AI Policy and AI Literacy lies.   <\/p>\n<p class=\"isSelectedEnd\">An AI directive alone does not change the way we work. Employees need orientation, examples from their everyday work and an understanding of how to use AI responsibly. Managers need to know how to control the use of AI in their teams. New employees must already learn during onboarding which AI rules apply in the company. In its <a href=\"https:\/\/www.gartner.com\/en\/human-resources\/trends\/top-priorities-for-hr-leaders\"><strong>Top CHRO Priorities for 2026<\/strong><\/a> , Gartner cites AI-driven HR transformation and workforce redesign in the human-machine age as key priorities. HR must therefore not only understand AI in its own function, but also prepare the entire organization for changed work.  <\/p>\n<h2><span class=\"ez-toc-section\" id=\"Why_AI_Literacy_Is_More_Than_Prompt_Training\"><\/span>Why AI Literacy Is More Than Prompt Training<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p class=\"isSelectedEnd\">Many companies start AI competence with prompt training. This is understandable, but too short-sighted. Good prompts help with the use of generative AI, but do not solve the structural issues behind it.  <\/p>\n<p class=\"isSelectedEnd\">Employees need to know why AI can hallucinate, when sources need to be checked, and what information doesn&#8217;t belong in external systems. They need to understand how bias can arise, why automated suggestions are not automatically objective, and why human control remains indispensable in certain processes. <\/p>\n<p class=\"isSelectedEnd\">The <a href=\"https:\/\/digital-strategy.ec.europa.eu\/en\/faqs\/ai-literacy-questions-answers\"><strong>EU AI Office Q&#038;A on AI Literacy<\/strong><\/a> explicitly cites risks such as hallucinations as an example that employees should be aware of when using tools such as ChatGPT. For companies, this means that AI literacy must address specific usage situations. A marketing team needs different examples than HR, finance, sales or project management.  <\/p>\n<p class=\"isSelectedEnd\">Deloitte also describes in the <a href=\"https:\/\/www.deloitte.com\/us\/en\/insights\/topics\/talent\/human-capital-trends.html\"><strong>Global Human Capital Trends 2026<\/strong><\/a> that traditional change and training approaches are often too slow when work changes so quickly. Learning must move closer to the flow of work. For HR, finance, sales or service teams, concrete use cases from the respective work context are needed.   <\/p>\n<p class=\"isSelectedEnd\">The technical basis is also important. If employees are to use AI productively and securely, they need clear systems, clean data and defined processes. The <a href=\"https:\/\/www.pwc.com\/gx\/en\/services\/ai\/ai-jobs-barometer.html\"><strong>PwC Global AI Jobs Barometer 2026<\/strong><\/a> also underlines that skills requirements are shifting due to AI. Companies must therefore not only introduce tools, but also actively prepare their workforce for new ways of working.  <\/p>\n<p class=\"isSelectedEnd\">For HR, this creates a strategic task. AI Literacy combines training, governance, adoption, and organizational development. The EU AI Act increases the pressure to act, but the real reason for investing lies in business benefits: better decisions, less uncertainty, higher acceptance and scalable AI use.  <\/p>\n<p class=\"isSelectedEnd\">HR should not wait until every detailed legal question has been conclusively clarified. Companies today need clarity about which AI tools are used, which roles are particularly affected and which skills employees need. If you build AI literacy in a structured way at an early stage, you reduce risks and at the same time create the basis for productive AI adoption.  <\/p>\n<p class=\"isSelectedEnd\">AI doesn&#8217;t start with a tool. It starts with people who know how to use it sensibly. <\/p>\n<h2><span class=\"ez-toc-section\" id=\"FAQ\"><\/span>FAQ<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<h3><span class=\"ez-toc-section\" id=\"What_does_AI_literacy_mean_in_business\"><\/span>What does AI literacy mean in business?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p class=\"isSelectedEnd\">AI literacy describes the knowledge, skills, and understanding that employees need to use AI systems informed, safely, and responsibly. This includes a basic understanding of technology, risk awareness, data protection, results review and the ability to classify the opportunities and limits of AI in one&#8217;s own work context. <\/p>\n<h3><span class=\"ez-toc-section\" id=\"Is_AI_literacy_mandatory_under_the_EU_AI_Act\"><\/span>Is AI literacy mandatory under the EU AI Act?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p class=\"isSelectedEnd\">Yes. Article 4 of the EU AI Act obliges providers and users of AI systems to take measures to ensure a sufficient level of AI literacy among employees and other persons who work with AI systems on their behalf. According to the EU AI Office, this obligation has been in force since February 2, 2025. Supervision and enforcement will start from August 2026.   <\/p>\n<h3><span class=\"ez-toc-section\" id=\"Does_every_company_have_to_conduct_AI_training\"><\/span>Does every company have to conduct AI training?<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p class=\"isSelectedEnd\">The AI Act does not prescribe a uniform standard training.
