Our client, a media organization, has been a leading provider of event management and equipment since 1985. They are known for impressive live communication solutions and tailor-made event concepts. When the client was faced with the challenge of replacing its outdated time and attendance system, the company was looking for an advanced solution to accurately record and evaluate the working hours of its employees. Together with INKUBIT, the customer opted for the HR for Dynamics system, which is based on the Power platform. This modern HR solution not only enables seamless integration with existing payroll software, but also provides significant relief for the HR team and significant cost savings. The successful implementation of this system has enabled the company to significantly increase the efficiency and flexibility of its personnel management.<\/p>\n<\/div><\/div>

Requirements<\/span><\/span><\/h2>

The media organization faced several challenges when the existing time tracking system could no longer meet the increasing demands. The main problems were the lack of flexibility and the difficult integration of the system into the existing payroll accounting software Lodas. This led to inefficient and error-prone manual processes that impacted operational efficiency. In addition, previous overtime management capabilities were inadequate, negatively impacting both employee satisfaction and the administrative burden on the HR team. The requirements for the new system were therefore clear: it had to be seamlessly integrated into the existing infrastructure, enable precise and error-free recording of working hours and at the same time offer flexible management of overtime. The goal was to increase efficiency, reduce resource costs, and significantly improve HR workflows.<\/p>\n<\/div><\/div>

Project implementation: New sales potential with Dynamics 365 Sales<\/span><\/span><\/h2>

The implementation of the project began with a detailed analysis of the existing processes and a close cooperation between the customer and INKUBIT. Based on this analysis, HR management for Dynamics 365<\/a>, based on the Power platform, was implemented and tailored to the specific needs of our customer. The implementation involved several phases, including integration with Lodas payroll software, setting up a flexible custodial account for overtime, and customizing the user interfaces for user-friendly handling. Regular best-practice meetings and requirements workshops ensured that all requirements were met precisely and that the system went smoothly into operation. The go-live took place in May 2023, and since then, the customer has benefited from a significant increase in efficiency and optimized management of working hours.<\/p>\n<\/div><\/div>

Our old time and attendance system was no longer able to meet the complex requirements of our dynamic event industry. The new system has not only greatly simplified the recording and evaluation of working hours, but also made it easy to integrate it into our payroll accounting software Lodas. <\/p>\n

Solution<\/span><\/span><\/h2>

The implemented solution, the HR for Dynamics system based on the Power platform, turned out to be exactly the right choice for our customer. The system offers comprehensive and precise recording of working hours, which has been seamlessly integrated into the existing payroll accounting software Lodas. By introducing a custody account for overtime, employees can flexibly accumulate their overtime and reduce it during less busy periods, which has improved both employee satisfaction and administrative efficiency. <\/p>\n

The results of the project implementation are impressive: the new system has not only significantly improved the accuracy and efficiency of time tracking, but has also reduced resource costs by around 30%. The automated transfer of working hours to payroll software has reduced the error rate and relieved the HR department of time-consuming manual processes. Overall, the new solution has contributed to a significant increase in operational efficiency, enabling clients to continue to deliver best-in-class event experiences while streamlining internal
