Microsoft´s solution for important metric and organization analysis is available for free in the AppSource under the name Organization Insights with the last Fall release of Dynamics 365 Online 8.2. The tool helps you to stay ahead of support and performance issues as well as monitor all kinds of system activities in Dynamics 365. It is a module that provides detailed numbers about your Dynamics 365 instance like usage breakdowns, plugin and system job details as well as already mentioned activities.


How to get Organization Insights?

To obtain Organization Insights you simply need to go to your Organization and Settings --> Microsoft AppSource and download it for free.

The installation of Organization Insights

Once you select the appropriate instance in your Administration Portal the installation of the solution happens automatically and you can check the status there as well.

The solution takes usually a few minutes after which the icons and functionalities will be available immediately in your Dynamics environment. Once you see the status installed you can go back to your organization and refresh your browser to see the solution updates. Usually it is in the Setting section.



Organization Insights module

The app gathers now all sorts of organizational data and provides you with reports / charts. Organizational data refers to what is happening within your specific Dynamics 365 environment as user loggings, which entities they use and who is adding or modifying records. A very important metric for most organizations is also the behavior of the instance in terms of speed and accuracy etc.

Once you are inside Organization Insights you have access to 7 further dashboards for deeper analysis:

  • Home: the default dashboard provides information on the number of active Dynamics 365 users, storage usage, most active workflows, API´s and Plug-ins.
  • Active Usage: find out how many users in your organization are, how many licenses are used and the usage of custom entities.
  • System Jobs: measure success and failure rates of workflows and a detailed analysis.
  • Plug-ins: monitor and troubleshoot Plug-ins in your organization.
  • API Calls Statistics: monitor API calls and troubleshoot failures.
  • Mailbox Usage: monitor the number of configured mailboxes regarding to their type.
  • Storage: Glance at most used tables, size of entities and storage per instance

In the image below is the home dashboard, which is neatly configured showing the total active users, total API Calls, API Success Rate, and Plug-In Executions. You can configure the data range depending on your requirements

If you switch now to the Active Usage section, you receive an even more user-based statistic. This dashboard is extremely helpful for organization administrators and managers to get an overview who is logging in and actually how the user is using Dynamics. It is also possible to export all data into Excel files to have an even more detailed analysis.

Also take a look at the Storage section to get information on the usage of specific entities including the most used ones. You can see the storage breakdown by instance, overall storage including available space and current breakdown of tables for the CRM instance. As you will approach your storage limit this analysis delivers you a great possibility to check the largest entities consuming your data.

The main KPI´s are Performance, Storage, User Adaption and Usage which can be monitored in several ways:

  • Number of records updates, creations and deletions
  • Number of entity accesses

Microsoft is constantly evolving its Dynamics 365 platform, this is a perfect starting point to allow us as customers to check all our data in their environment without transparency issues. Before Organization Insights you would need to directly contact the Microsoft support to gather any information regarding your instance so being able to have this with a few clicks makes it easier for both sides.
