The latest release of the Dynamics 365 App for Outlook runs with version 9.0 (or higher) of Dynamics 365 (Online) and brings us some new features. Firstly, the multi-factor authentication with the Dynamics 365 App is no longer supported, as well as a restriction of e-mail. Mail tracking for delegated users.

Microsoft's Dynamics 365 app gives us the ability to easily manage our data in CRM via our Outlook, provided that we have enabled server-side synchronization.


Security role for the Dynamics 365 App for Outlook

Before we start setting up the new app, we need to set up security for our users. If we do not do this, we receive the following error message:

"You do not have permission to use this app. Ask your system administrator to update your settings."

Please go to the setting in the category Security roles:


Select a security role and navigate to the Business Management section. You have the choice of creating a new security role or configuring an existing one. Make sure that the security role has read and write permissions for the mailbox.



If you scroll down, you will get to the section Privacy Related Privileges. Very important at this point is the option to activate via the Dynamics 365 App so that we have the opportunity to benefit from the app at all.



Afterwards we have to activate the User Application Metadata in the Customization section for read and write functions.



The Entity, Field, Model-Driven App, Relationship, System Applicatiuon Metadata, System Form, and View fields also require read permissions, but should already be set correctly. Check and configure if necessary. Save the changes to the edited security role.


Setting up the Dynamics 365 App for Outlook

In the next step we will link the security role to the app. For this we have to go back into the setting and click on My Apps.


Here we select our Dynamics 365 App for Outlook and take care of managing the roles.



Select the security roles that allow users to use the app. Of course, it is allowed to assign the functions of the app to several security roles. If a new user receives an unlocked security role, the Dynamcis 365 App for Outlook is automatically assigned.



The Dynamics 365 App for Outlook works in the following variations:

Dynamics 365 (online) + Exchange Online

Dynamics 365 (online) + Exchange Server (on-premises), version 15.0.1236.3.32 (Cumulative Update 14 for Exchange Server 2013) or greater

Dynamics 365 (on-premises) + Exchange Server (on-premises), version 15.0.1236.3.32 (Cumulative Update 14 for Exchange Server 2013) or greater

Dynamics 365 (on-premises) + Exchange Online


After completing these steps, the most important thing is setting up the final app. We can set up the app for all users with the help of our administrator rights. About the settings we come directly to our app. We can decide for ourselves whether the app should be set up for all users or only for specific users.

Add to all authorized users and the setup is complete.


Later, we can use the PowerApps App Designer to customize our Outlook app and decide which apps are relevant to us.

The Dynamics 365 App for Outlook uses a new unified interface that allows us to seamlessly communicate with our devices and access our Dynamics 365.

Functions that we are offered include:

  • Track tracked emails and appointments out of Outlook
  • Create records directly from Outlook (companies, competitors, contacts, leads, opportunities, etc.)
  • Search records from Dynamics 365
  • Editing records from Outlook

  • Fixed loading problems in Internet Explorer with local Exchange Server
  • Confirmation dialog appears when tracking an appointment in Outlook Desktop Read mode
