We are looking for an Assistant to the CEOwho is proactive, detail-oriented and enthusiastic about a variety of administrative and organizational challenges. Your role as assistant to the management

As an Executive Assistant, you will directly support the CEO in ensuring the smooth running of the organization. This flexible part-time position (approx. 15 hours/week) is location-independent and offers you the opportunity to work on a variety of tasks that have a direct impact on our organization.

 

What you will do

Support with e-mail and communication:

  • Managing the CEO's inbox, prioritizing and responding to emails and ensuring timely follow-up.
  • Drafting and proofreading high-quality communications for internal and external stakeholders.
  • You act as a link between the CEO and team members or partners.

Calendar and meeting management:

  • Organization of the CEO's schedule, coordination of meetings and efficient management of time zones.
  • Preparation and distribution of agendas, materials and follow-up notes.

Administrative support:

  • Maintaining accurate data in Dynamics 365 and ensuring that all information is up to date.
  • Creation of presentations, reports and other documents as required.
  • Organize and maintain templates, guides and key resources for easy access.

Ad hoc tasks:

  • Assistance with light research, task tracking and various requests.
  • Collaboration with various departments to support cross-functional projects.

 

What you bring with you

Skills and experience:

  • Strong organizational skills and the right eye to handle multiple tasks efficiently.
  • Proficiency with AI tools and familiarity with Microsoft Office Suite; experience with Dynamics 365 is a plus.
  • Languages: German at native speaker level and excellent knowledge of English (C1-C2).
  • Experience in handling sensitive and confidential information with discretion.
