Our client develops and sells energy-efficient heating systems for the building sector. The goal of the project was to streamline recruitment processes and, following the discontinuation of Personio, to re-establish them in a structured and system-supported manner.
The Challenge
Following the decision to discontinue the use of Personio, the need arose to reorganize recruiting processes and integrate them seamlessly into the existing system landscape. The focus was on clearly managing job postings and applicants without introducing a separate applicant portal. At the same time, incoming applications from various email inboxes were to be automatically captured in order to reduce manual effort in the recruiting process.
The Solution
INKUBIT the client—an industrial company specializing in building technology—by providing targeted consulting services to automate key recruiting processes in the mid-market. This was based on a structured best-practice implementation of Hubdrive HR Management for Dynamics, with a clear focus on the recruiting module.

By automating key recruiting processes, the client was able to significantly streamline and organize its day-to-day applicant management tasks. Incoming applications are now systematically recorded and processed centrally, regardless of the email address from which they are received. This creates transparency throughout the entire recruiting process and noticeably reduces media discontinuities.
Recruiters now work exclusively within a single system and have a consistent overview of open positions, application statuses, and relevant information at all times. Manual tasks such as transferring applicant data or consolidating information from different sources are largely eliminated. This frees up more time for high-value recruiting tasks, such as evaluating candidates or coordinating with business units.
At the same time, the clearly structured process ensures greater reliability in day-to-day operations. Applications no longer get lost, the status of applications can be tracked at any time, and the entire process is less prone to errors.
