Our customer develops and sells energy-efficient heating systems for the building sector. The aim of the project was to make recruiting processes more efficient and to map them again in a structured and system-supported manner after the discontinuation of Personio.
The Challenge
After the decision to no longer use Personio, the requirement arose to reorganize recruiting processes and reliably integrate them into the existing system landscape. The focus was on clear management of job advertisements and applicants without introducing a separate applicant portal. At the same time, incoming applications from different e-mail inboxes should be automatically recorded in order to reduce manual effort in recruiting.
The Solution
INKUBIT supported the customer, the industrial company in the field of building technology, with a targeted consulting service for the automation of central recruiting processes in medium-sized companies. The basis was a structured best practice introduction of Hubdrive HR Management for Dynamics with a clear focus on the recruiting module.

The solution was deliberately designed to be lean and adapted exactly to the actual needs in order to achieve rapid relief in recruiting.
Our goal was to organize recruiting processes more efficiently and avoid manual work. INKUBIT accompanied us in a structured way and implemented a solution that works well for our everyday life in medium-sized companies.
The results with INKUBIT
By automating central recruiting processes, the client was able to significantly simplify and structure the daily work in applicant management. Today, incoming applications are systematically recorded and processed centrally, regardless of which email address they are received from. This creates transparency in the entire recruiting process and noticeably reduces media discontinuities.
Recruiters now work exclusively in one system and have a consistent overview of vacancies, application statuses and relevant information at all times. Manual activities such as transferring applicant data or merging different sources of information are largely eliminated. This leaves more time for qualitative tasks in recruiting, such as evaluating candidates or coordinating with specialist departments.
At the same time, the clearly structured process ensures greater reliability in day-to-day business. Applications are no longer lost, processing statuses are traceable at all times, and the entire process is less error-prone. The solution thus not only supports efficiency, but also a professional and consistent way of working in recruiting.
