In the dynamic world of retail, the EK Group, as a purchasing and service cooperation for medium-sized retailers, faced the challenge of mapping its business model holistically and maximizing the efficiency of its processes.

With a large number of small retailers as members, it was essential for the EK Group to develop a comprehensive Solution that effectively integrates commission calculation, invoicing and communication with the network partners. 

This Solution should not only meet current requirements, but also be flexible and adaptable for future developments. For this reason, the EK Group opted for a partner who had the necessary technical expertise and understood the specific requirements of the EK Group.

The challenge - data management and commission calculation

The EK Group's requirements were complex and multi-layered. The task was to develop a Solution that was not only technically sophisticated, but also optimized the business processes and made them future-proof. This included 

  • Mapping the business model: The entire business model of the purchasing cooperation had to be mapped, including the complex communication with the network partners. This also included the ability to process and display large volumes of data efficiently.
  • Integration in self-service web portal: A Solution had to be developed to efficiently transfer the bonus-relevant data of the network partners and enable self-administration by the members. This required a user-friendly, secure and easily accessible platform.
  • Automated communication and notification: The implementation of automated communication and notification for all relevant communication events was crucial to optimize the flow of information and increase the efficiency of internal communication.
  • Extended Relationship functionalities: In order to ensure process reliability and relationship management across the entire value chain, extended extended relationship functionalities had to be introduced. This was intended to increase the stability and reliability of the business processes.

To meet these challenges, the EK Group needed a customized Solution that would cover all aspects of its business model while being flexible and future-proof.

The Solution - automation and data synchronization

To meet these diverse requirements, we developed a customized Solution based on a combination of advanced technologies and proven methods. 

Our Solution consisted of several central components that together formed a comprehensive and flexible platform.

  • Central CRM system: We implemented Dynamics CRM and Dynamics Sales Enterprise to map and centrally manage the EK Group's entire purchasing and relationship management process. The systems enable efficient coordination and monitoring of all relevant processes, thereby increasing transparency and control.
  • Web portal integration: A key component of the Solution was the development and integration of a self-service web portal. This portal enabled members of the purchasing cooperation to upload bonus-relevant data and retrieve relevant information such as bonuses and purchases. The user-friendly interface and secure data processing made it much easier for members to use.
  • Automated data exchange: By synchronizing the web application with a MySQL database and integrating APIs, we ensured efficient and smooth data exchange. This optimized the flow of information between the different systems and ensured a high level of data integrity, which was crucial for the reliability of the Solution .
  • Office 365 integration: The use of Office 365, including Teams and Outlook, enabled automated communication and notification, which significantly improved the distribution of information within the EK Group. This facilitated collaboration and increased the efficiency of internal communication processes.
  • Process reliability and relationship management: The introduction of extended relationship functionalities ensured process reliability along the entire value chain. This increased the reliability of business processes and minimized potential risks, which is crucial for the long-term stability of the EK Group.

Through this comprehensive and integrated Solution , we were able to ensure that the EK Group can design its business processes efficiently and future-proof, resulting in a significant improvement in overall operational efficiency.
